Step-by-Step Instructions:
1. Go to Your Project in Brightcall
Open the Brightcall dashboard
Navigate to the specific project you want to import contacts into
2. Start the Import Process
Hover over the “Add Contacts” button
3. Select Your CRM
Choose HubSpot from the CRM list
Click “Next”
4. Configure Import Settings
You will see several fields — here's how to handle them:
Field | What to Do |
List | Select the HubSpot List you want to import contacts from |
Polling interval | Choose how often to check for new contacts (e.g., hourly or daily) — or leave it blank to only import once |
CRM link column | Choose the column where Brightcall will store the HubSpot link (this is required) |
Remove contacts not from the list | Enable this only if you want Brightcall to delete any contacts not in the selected HubSpot list |
Sync until | Set a date when the import should stop (this is mandatory) |
5. Map Your Fields
Match your Brightcall fields to the corresponding HubSpot fields
For example:
Brightcall First Name → HubSpot First Name
Brightcall Phone → HubSpot Phone Number
Brightcall Email → HubSpot Email
This ensures the data goes into the right place
6. Save and Start Syncing
Click “Save”
The sync will now start based on the schedule you chose
Best Practices
Set Polling Interval to hourly for fast-moving campaigns
The CRM Link Column helps with tracking and updates — always select one
Only use “Remove contacts not from the list” if you want Brightcall to fully mirror the HubSpot list
Don’t forget to set a proper Sync Until date
